About Axia Lifesciences

Axia Lifesciences is a key player in Sri Lanka’s pharmaceutical industry, specializing in the import, in-licensing, commercialization, and distribution of pharmaceutical, biological, and medical intervention products. Managing a large team of medical representatives (med reps) across the country became challenging, especially in tracking daily work and handling their travel-related expenses. In April 2024, Axia partnered with SANeForce to automate these processes and bring more control and visibility to their operations.

Challenges Faced

Axia’s med reps had to manually fill out paper forms for their travel-related expenses, which caused errors, delayed approvals, and made it harder for them to get their travel claims settled on time. Med reps relied on paper printouts and manual record-keeping for expense tracking, which led to calculation errors, slow approvals, and reimbursement delays. Managers struggled to monitor where med reps were working, affecting territory planning and daily tracking. Finding employee records took too long, and calculating fuel expenses was often inconsistent, creating disputes. The entire process of managing Tour Plans (TPs) and reports was slow and manual.

The SANeForce Solution

To overcome these issues, SANeForce introduced a simple mobile app where med reps could log their work instantly. This gave managers real-time updates and made daily monitoring easier. With Geo-Tagging and Geo-Fencing, Axia could track med reps’ locations automatically, helping to manage territories more effectively.

Travel-related expense claims were calculated automatically based on the distance travelled, making the approval of travel costs faster and error-free. The Tour Plan (TP) approval process became digital, allowing for faster submissions and quicker approvals, saving time for everyone. Additionally, a Centralized CRM System was implemented to organize all employee data, so finding records became quick and hassle-free.

The impact was clear. The time taken to settle med reps' travel claims was reduced significantly. Mistakes in travel cost approvals were eliminated with automated calculations. Managers could now track med reps' daily work and territory coverage more accurately. Tour Plan (TP) approvals, which earlier took days, were now handled quickly and smoothly. Employee records were instantly available, reducing admin workload.
